How we handle your information.
Vanmates Accommodation Inc. ("Vanmates," "we," "our") runs the booking, homestay, and relocation services you use at vanmates.com. This policy covers what we collect, why, and what you can do about it.
What we collect
- What you give us — name, email, phone, city, move-in date, and anything else you type into our contact, booking, or relocation forms.
- What your browser sends — IP address, browser type, pages visited, referrer. Standard stuff every website receives.
- What you pay us — payments are processed by Stripe. We see the amount and a masked card descriptor; we never store full card numbers.
What we use it for
- Matching you with a room, homestay, or service package.
- Coordinating move-in, maintenance, and support.
- Responding to questions via email or WhatsApp.
- Improving the site — aggregated analytics like which pages are most read.
We don't sell your data. Full stop. We don't run third-party ad retargeting.
Who we share it with
Only the people and services we need to deliver our services:
- Your house manager or host family — so they know who's moving in.
- Payment processor (Stripe) — for charges and refunds.
- Hosting providers — Cloudflare (the site), Google Workspace (email), Zoho CRM (lead records), and n8n (workflow automation we run ourselves).
- Legal and regulatory bodies — only when required by Canadian law.
Your rights
You can ask us at any time to:
- See what data we hold about you.
- Correct or update it.
- Delete it (outside what we're legally required to keep, like tax records).
- Export it in a machine-readable format.
Email hello@vanmates.com and we'll action any of the above within 30 days, usually much faster.
Cookies
We use browser storage (localStorage / sessionStorage) to remember small things like the last city you searched, your saved rooms, and which rooms you're viewing. No third-party tracking cookies. No advertising pixels.
Changes
If we change this policy in a way that materially affects you, we'll email anyone with an active booking before the change takes effect. Minor wording cleanups just update the "Last updated" date above.
